Pipeline
Managing enquiries
The pipeline is a kanban board for tracking incoming work — from first contact through to signed appointment. Each card is an enquiry moving through stages.
Adding an enquiry
- 1Go to Pipeline from the left rail.
- 2Click + New enquiry.
- 3Enter the client name, project description, estimated fee and the stage it's currently at.
- 4Click Create. The card appears in the appropriate stage column.
Moving enquiries through stages
Drag a card from one column to the next as the enquiry progresses, or click the card to open it and change the stage from the detail view. The date of each stage change is recorded.
Enquiry details
- Client
- The prospective client — a person, company or referral contact.
- Description
- A brief note on the scope of work — for example "Residential extension, two-storey rear".
- Estimated fee
- Your current estimate of the fee. Used in pipeline value totals.
- Probability
- Your likelihood of winning this work. Used to weight the expected pipeline value shown in the practice dashboard.
- Notes
- Free-text notes — source of referral, client relationship, constraints.
Converting to a project
When an enquiry becomes a confirmed commission, open the enquiry card and click Convert to project. This creates a new project pre-filled with the client name and description from the enquiry record.
TipThe original enquiry record is kept even after conversion — it remains in the pipeline as a reference for how the job came in.
