Transmittals

A transmittal is a formal record of documents issued to a third party. Haunch generates a numbered transmittal register automatically whenever you issue files from the vault.

Issuing documents

  1. 1Open a project and go to the Files tab.
  2. 2Select the files you want to issue by ticking the checkboxes.
  3. 3Click Issue selected.
  4. 4Enter the recipient name or company, the purpose of issue (e.g. For Construction, For Information, For Approval), and an optional cover note.
  5. 5Click Issue. A transmittal record is created and a PDF transmittal sheet is generated.

The transmittal register

All transmittals for a project are listed in the transmittal register, accessible from the Files tab. Each entry shows the transmittal number, date, recipient, purpose, and the list of documents issued.

Click any transmittal to download the PDF transmittal sheet — the same document that would have been sent to the recipient.

TipEvery transmittal is automatically recorded in the project audit trail — including what was sent, to whom, and by whom.

Purpose of issue codes

For Construction
Issued as the definitive set for the contractor to build from.
For Information
Sent for the recipient's awareness — not necessarily for action.
For Approval
Sent to a client, certifier or other party for sign-off.
For Comment
Sent for review and feedback before finalisation.
Superseded
Replaces a previously issued document. Old version is retained in history.
